Coaching Assignment Status

All coaching assignments are seasonal and issued on a year-to-year basis.

  • Assignment to a coaching position does not constitute a continuing or guaranteed position.

  • Coaching assignments are subject to:

    • Program needs

    • Student participation

    • Available funding

    • Overall district priorities

  • The district reserves the right to:

    • Assign, reassign, or discontinue coaching positions

    • Adjust programs based on enrollment, funding, or operational needs.

Funding Contingency

Coaching stipends and program funding are dependent on the availability of district resources, including the passage of local levies.

  • In the event of a levy failure or reduction in available funding:

    • The district may adjust, suspend, or eliminate coaching stipends and/or positions

  • Any adjustments will be communicated and implemented as necessary to align with available funding.

Assistant Coach Allocation & Participation-Based Staffing

The number of assistant coaches assigned to a program is based on student participation levels.

  • Participation will be reviewed during the second full week of practice using eligible athlete attendance data.

  • Final determination of assistant coaching positions will be made by the athletic director, building & district administration.

  • If participation declines during the season:

    • Coaching assignments may be adjusted

    • Compensation may be prorated based on time served

  • All staffing decisions are made at the discretion of the district to ensure appropriate supervision and program efficiency.

INTERNAL CLASSIFIED EMPLOYEE COMPENSATION:

  1. For classified employees serving in extracurricular coaching positions, compensation shall comply with applicable wage and hour laws.

  2. Classified employees serving in coaching assignments must accurately record all hours worked on district-approved time sheets.

  3. Classified employees working extracurricular assignments shall be compensated at an hourly rate no less than the applicable Washington State minimum wage.

  4. Hours worked in excess of forty (40) hours in a workweek, including combined district employment and extracurricular assignments, shall be compensated at the applicable overtime rate in accordance with federal and state law, including 29 CFR 778.419.

  5. Maximum allowable hours for each extracurricular assignment will be determined by the business office based on the assigned stipend amount and anticipated overtime obligations.

  6. Employees may not exceed approved hours without prior authorization from the business office.

  7. The District’s intent is to maintain fairness and consistency among coaching positions so compensation aligns as closely as possible with the approved stipend schedule; however, actual compensation may vary as necessary to comply with overtime laws.

Extracurricular Assignment Pay

 Athletic coaches and other extracurricular employees are compensated differently depending on what other employment relationship, if any, they have with the District.

 Certificated Employees With Extracurricular Assignments

 For employees who hold regular, ongoing contracts as certificated employees of the school district, compensation is based on a flat stipend paid under a supplemental contract. A schedule of such contracts is set forth below.

 Employees with Only Extracurricular Assignments

 Extracurricular employees who do not have another position with the District will receive the same stipend as certificated employees. Because such employees are not exempt from minimum wage and overtime requirements, such employees are expected not to exceed the maximum hours per week allocated to their stipend [enclose table].  This maximum number of hours is based on the current Washington State Minimum Wage.  If an employee in this category works beyond their allotted hours they will be compensated for such additional hours at the Washington State Minimum wage or overtime rate, if applicable, based on the Washington State Minimum Wage.

 Classified Employees with Extracurricular Assignments

 For employees who hold a current classified, non-overtime exempt position with the District, the employee’s rate of pay for the coaching assignment will be set at the Washington State Minimum Wage. The individual extracurricular contract issued to such employee will be calculated to represent pay at the Washington State Minimum Wage for any hours that do not exceed 40 hours in a work week. Any hours that exceed 40 hours in a work week will be calculated based on the applicable overtime rate, which will be a blended rate based on the rate of pay for each assignment, calculated pursuant to state law and written guidance from the Department of Labor and Industries.

 Employees will record their time in the coaching assignment on a time sheet each week.

 Allowable hours per sport or activity will be determined by the Superintendent or designee by using the schedule stipend amount divided by the hourly rate, with allowance made for overtime. Employees will not exceed allowable hours except by prior authorization from the Superintendent or designee. To maintain fairness between coaches, the intent is that no employee will be compensated for more hours than allocated to the stipend; however, such additional payments will be made as necessary to comply with state and federal wage and hour laws.

 Permissible Hiring Preferences

 In hiring extracurricular employees, the District reserves the right to exercise hiring preferences for employees who are less likely to cause the District to incur overtime costs beyond the established supplemental contract amounts.
